Position Summary
The Accounting Associate is responsible for assisting in the implementation and maintenance of the company’s accounting system, ensuring accurate recording of financial transactions, proper documentation of accounting records, and timely preparation of financial reports. The position will play a key role in establishing accounting processes, organizing financial records, and supporting the transition to a structured accounting environment using QuickBooks Online.
The Accounting Associate shall work closely with management and the Financial Consultant in developing accounting procedures, maintaining compliance with applicable accounting standards and tax regulations, and supporting the overall financial management of the company.
Duties and Responsibilities
A. Accounting System Implementation
- Assist in the implementation and maintenance of the company’s accounting system using QuickBooks Online.
- Participate in the setup of the chart of accounts, customer profiles, vendor records, and accounting workflows.
- Help organize and digitize historical accounting records and supporting documents.
- Assist in documenting accounting policies, procedures, and standard operating procedures (SOPs).
- Support data migration and reconciliation of opening balances.
B. Bookkeeping and Transaction Recording
- Record daily financial transactions accurately and timely.
- Prepare and post journal entries.
- Maintain general ledger accounts and subsidiary ledgers.
- Verify completeness and accuracy of supporting documents before recording transactions.
- Maintain organized accounting files and records, both physical and electronic.
C. Accounts Receivable Management
- Monitor customer accounts and outstanding receivables.
- Prepare sales invoices and billing statements.
- Assist in the preparation of aging schedules.
- Coordinate with operations and management regarding collections and account reconciliations.
- Maintain customer account records and supporting documentation.
D. Accounts Payable Management
- Process supplier invoices and reimbursement requests.
- Verify supporting documents and approval requirements.
- Prepare accounts payable schedules.
- Monitor due dates and assist in payment processing.
- Maintain vendor files and records.
E. Bank and Cash Management
- Assist in monitoring cash balances and cash movements.
- Record deposits, withdrawals, and fund transfers.
- Investigate and resolve reconciliation discrepancies.
F. Administrative Support
- Coordinate with operations, customs processing, and management teams regarding financial documentation.
- Assist during audits and financial reviews.
- Perform other accounting and finance-related tasks assigned by management.
Qualifications
Educational Background
- Bachelor’s Degree in Accountancy, Accounting Information System, Management Accounting, or any related field.
Experience Requirements
- Fresh graduates are encouraged to apply.
- Experience in bookkeeping, accounting, or finance is an advantage but not required.
Knowledge and Skills
- Basic knowledge of accounting principles and bookkeeping.
- Proficiency in Microsoft Excel and Microsoft Office applications.
- Familiarity with accounting software is an advantage.
